Definition of Visiting Student and Application Terms
Application Cycle – July 1st – June 30th
Application Extension- an extension of the original application dates up to 1 year. An extension cannot be processed if the original end date has passed.
Department Contact – Person who will be assisting the visiting student through the application process, gathering needed documents/ information, organizing onboarding, etc.
Faculty Sponsor – Person the visiting student will be working with/shadowing/ observing, etc. A faculty sponsor must be a UT San Antonio Health Science Center staff or faculty.
Formstack – online application used for visiting students who do not use the medical school VSLO system.
Program Chair – Person within the program or department who needs to know/ approve of a visiting student being the lab/ clinic/ office, etc.
Sponsoring Department / Program – an official UT San Antonio Health Science Center department or unit who has approved the visiting student.
Responsible for communication of policy requirements, compliance, and documentation to Visiting Students.
Initiates Visiting Student application process by providing the Visitor with the application link as well as ensuring submission of all required forms, documents, and records.
Visiting Student – a non-UT San Antonio Health Science Center student enrolled at another institution of higher education or high school who seeks a short-term educational experience at the Health Science Center.
Visiting Students cannot be UT San Antonio Health Science Center student, faculty, or staff. They must be participating in activities for more than 3 days. They cannot be paid wages or benefits by our institution.
- Minor Visiting Student - Must meet the same definition of a Visiting Student. They must be at least 16 years old.
